What We Are Recruiting For
We're looking for a Workplace Coordinator to deliver the day-to-day experience of a client's workplace in Toronto. You'll be on site, upholding the standard we set and working with the client's teams and service partners to keep the experience consistent as the business changes.
Success is measured in outcomes: a workplace that feels deliberate, not accidental, service partners delivering to standard, and people who want to come in.
Worth knowing
- Location: Toronto, on-site
- Commitment: Approximately 2–3 days per week
- Initial term: Through 31 December 2026 (possible, subject to operational requirements)
What You Will Do
- Deliver the day-to-day workplace experience, from the first welcome in the morning to closing up at night
- Bring the agreed experience model and service standards to life on site, so they're lived in practice, not just written down
- Coordinate the service partners responsible for the workplace, including reception, cleaning, security, catering and maintenance, and flag where standards slip
- Spot issues early, and fix or escalate them quickly before they affect the people using the space
- Be the first point of contact for the client's people on anything workplace related
- Look after front of house, visitors and the moments that matter most, from a new joiner's first day to client visits
- Work with building management and landlords on access, repairs and building issues, so problems are resolved, not passed around
- Support a safe workplace, including fire, first aid and emergency procedures, alongside the client's teams and building management
- Coordinate the physical side of moves, desk and space changes, and people joining and leaving
- Work with the client's IT team so meeting rooms, AV and workplace technology are ready when people need them
- Plan and run events and moments that bring the workplace to life
- Track workplace spend and service requests, and keep records up to date
- Gather feedback, track how the workplace is used and performing, and report on what needs attention
- Support sustainability and wellbeing in the workplace
- Act as the on-site point of contact for workplace projects such as refurbishments, moves or exits
- Take on any other tasks appropriate to the role, as the needs of the workplace and the business change
What You Bring
- 3+ years in workplace experience, workplace operations, office management or a related role
- Experience working with service partners day to day
- A track record of running a welcoming, well-run workplace day to day
- Experience running front of house, events and visitor experience
- A working knowledge of workplace health and safety in your market
- Comfort with workplace technology, and you're quick to pick up new systems
- Excellent written and spoken English
About You
- Service-minded, with genuine care for the people you look after
- You notice the details others walk past
- Hands on, and nothing is beneath you
- Calm under pressure, and quick to fix things when they go wrong
- Proactive, spotting problems before anyone else does
- Confident speaking up when something isn't right, with warmth and without ego
- You make good calls, and you know when to escalate
- Discreet with client information
- Confident with technology and AI tools
- Happy working in person on site, with some flexibility around events and building works
Nice to Have
- A background in hospitality or another client-facing service role
- In-house workplace experience at a global business
- A health and safety or first aid qualification
- Experience supporting office moves, fit-outs or exits
- Experience with workplace platforms such as booking, visitor management or helpdesk systems
